Executive Assistant

Exceptional Children's Foundation (ECF) provides the highest quality services for children and adults who are challenged with developmental, learning and emotional disabilities -- empowering them to reach their greatest potential. Each year, ECF serves more than 3,700 clients and their families at 15 sites throughout Los Angeles County. Established in 1946, ECF is the only organization of its kind in California to provide a lifespan of services for children and adults with developmental disabilities.


Under the supervision of the President/CEO, performs a wide variety of administrative, secretarial, and clerical tasks.


Ensures the phone of the President/CEO is answered and all messages are returned in his absence and provides a bridge for smooth communication between the CEO’s office and internal departments; demonstrates leadership to maintain credibility, trust and support with senior management staff; coordinates the CEO’s schedule by planning and scheduling meetings, conferences, teleconferences and travel.

  • Provides support to and for the board of directors, by serving as the President/CEO’s administrative liaison to ECF Board members, attending board and committee meetings and preparing minutes for each meeting, maintaining board files, distributing board and committee meetings in advance of meetings, posting board agendas/materials to ECF’s board Intranet page, and maintaining knowledge of ECF’s bylaws and other regulations pertaining to the Board and advises President/CEO of protocols for handling unusual circumstances, e.g., special Board meetings, electronic voting, etc.
  • Prioritizes incoming mail, requests, issues, and/or concerns addressed to the President/CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral or response and follow-up ensuring that appropriate action was taken and adequate resolution of any issue was achieved.
  • Conserves CEO’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications, reviewing edits and proofreads items prepared by others for the President’s signature.
  • Reviews all contracts submitted for the CEO’s signature; provides a summary of the contract requirements and impact to ECF, and ensure contracts have been reviewed by appropriate staff before presented for the President’s signature. Ensures original contracts are returned to the requesting internal party with copies distributed to appropriate staff, while maintaining administrative, contract and historic files of the organization;
  • Prepares professional presentations for the President/CEO utilizing PowerPoint, publisher and other desktop publication applications, as well as producing information by transcribing, formatting, inputting, editing, retrieving, copying, text, data and graphics. Additionally, creates and maintain the President/CEO’s intranet page, updating information on a regular basis.

Other Duties:

  • Participate as an adjunct member of the executive team; attend meetings and take minutes.
  • Particpate as a member of ECF’s administrative safety committee, and comply with ECF’s Injury and Illness Prevention Program.  Ensure safe use and operation of tools and/or equipment.
  • Comply with ECF policies and procedures, including mandated reporting requirements.
  • Observe regular, on-site work hours.


Education/Licenses/Certifications: Bachelor’s degree in Business Administration, Communications or a related filed. Will consider experience in lieu of bachelor’s degree.  

Experience: Minimum 5 years direct experience as an Executive Assistant working with a President/CEO or Senior Executive.

Knowledge/Abilities/Skills: Excellent oral and written communication skills; ability to multi-task and prioritize workload; plan, organize and coordinate projects; ability to interact with all levels of the organization; ability to deal appropriately with confidential information. Advanced knowledge and use of MS Office (Word, Excel, Power Point and Outlook). A strong relationship-builder.  High level of interpersonal skills and emotional intelligence.


  • Valid California driver’s license, reliable transportation, evidence of car insurance, and insurable driving record.
  • Pass a DOJ background investigation.
  • Provide evidence of a negative TB test initially and every three years thereafter.
