Manager, Advancement Event Planning and Coordination

Essential Functions

  • Provide event planning and coordination for selected Advancement events.
  • Serve as organizational coordinator for space allocation in conjunction with catering vendor to ensure internal mission critical events are prioritized as appropriate.
  • Screen and sign off for appropriateness of space use for potential external clients.
  • Promote connections between external clients and tie in with Advancement Corporate/Foundation Relations program.
  • Manage special projects as assigned such as concert series with select external partners.
  • Responsible for specified Conditional Use Permit compliance activities as assigned.
  • Facilitate community relations space usage as assigned.
  • Serve as initial contact for space rental fee issues/waivers in consultation with VP for Advancement.
  • Serves on committees and working groups as required.

Qualifications

  • Bachelor’s degree or equivalent education and experience.
  • Proven ability to exercise independent thinking and judgment to carry out duties in a timely manner.
  • Ability to prioritize, exercise initiative and work independently.
  • Proven ability to evaluate date, assess alternatives, and make decisions and/or recommendations as required.
  • Demonstrated ability to oversee and supervise volunteers, vendors, and committees.
  • Computer skills in Microsoft Office, desktop publishing, database management, and internet. Technical ability to learn and use EMS software and other data systems.
  • Skill to prepare financial forms, monitor budgets, and reconcile expenses. Skill to perform arithmetic calculations.
  • Ability to maintain calendars, schedule meetings, appointments and events.
  • Excellent interpersonal skills with a diverse group of individuals at all organizational levels, inside and outside the organization.
  • Demonstrated effective written and oral communication skills.
  • Strong analytical and critical thinking skills to identify problems and anticipate the impact to office administration problems, providing solutions as needed. Ability to use tact and diplomacy and maintain a high level of confidentiality. Ability to learn and interpret policies and procedures. 

Additional Requirements

  • Must be able to work nights and weekends regularly as required. 
  • Computer skills required.  Microsoft Word, Excel, and Power Point.  Experience working with EMS Pro & Raisers Edge is desired.
  • Must be able to lift, move, push, pull, etc. up to 30 pounds.  

Experience

  • A minimum of 2-4 years of experience preferred. 

Working Conditions

A combination of normal office environment with a portion of work conducted on the grounds and in facilities at various locations throughout the institution.
