CONTRA-TIEMPO Activist Dance Theater seeks a Full Time Operations Manager who will provide support in the areas of office management, administration, human resources, bookkeeping, donor development, and overall day-to-day operations for CONTRA-TIEMPO’s Los Angeles office. They will also be asked to support on-site with specific programming if necessary. This position will work closely with the executive team (Founding Artistic Director and Programming + Rehearsal Director) to support the operation of the company and delivery of our work locally and internationally. By taking charge of getting things done, the Operations Manager will help co-executive directors focus their energy on the strategic big-picture that will move CONTRA-TIEMPO’s mission forward.

Major Duties and Responsibilities

Office Management/Administrative:

Updates quickbooks with current contractor information

Manage and update office manuals (e.g. Operations Handbook, Policies and Procedures Manual)

Manage current insurance policies (i.e. request certificates of insurance)

Manage office operations and organization’s compliance

Human Resources:

Support recruitment and job search process

Create and manage employee and independent contractor contracts

Handle new hire and termination paperwork

Manage health insurance enrollment, retirement Plan, and personnel files

Bookkeeping:

Process bank deposits

Budget management and supporting accountant with account payables and receivables

Reconcile books monthly through QuickBooks

Manage credit card reconciliation

Reconcile vendor contracts with accounts payables

Support with preparing quarterly board reports

Support preparation of annual financial statement and tax document

Order checks, deposit books and bank stamps

Development:

Support grant tracking in partnership with Grant Contractor

Donor Development

Manage merchandise sales and membership program

Maintain/update SQUARE & NEON database and generate reports

Reconcile vendor contracts with accounts payables

Other:

Support on-site with specific programming if necessary (i.e. table, sell merchandise, run sound during community performances, airport runs)

Represents CONTRA-TIEMPO to the public and work positively and effectively with constituents

Evaluate administrative processes on an as needed basis, making recommendations for future improvements or enhancements


Job Qualifications

Education: Bachelor's degree in a business-related or arts administration field or equivalent in experience

Experience: Finance/Bookkeeping and administrative experience required. Experience working as an office manager or arts administration and in non-profit organizations preferred. Belief in and values alignment with the work of CONTRA-TIEMPO Activist Dance Theater.

Knowledge, Skills, and Abilities:

Self learner who takes initiative

Understanding of historical and present social inequities with a grounding in social justice

Knowledge of and practice in grassroots organizing

Exemplary organizational, logistics, time management, project management and coordination skills

Excellent analytic skills

Stellar editing and proofreading skills

Pleasant, outgoing professional presence in telephone and face-to-face communication

Budget concepts and processes, grant financial management, contract management

Advanced knowledge of bookkeeping and QuickBooks

Proficiency using Microsoft Office and both Windows and Macintosh platforms required

Experience with CRM’s SQUARE and NEON preferred.

Ability to work cooperatively on a variety of projects

Ability to work independently and carry out assignments with accuracy and within stated timeframe

Flexibility in adapting to the current needs of the organization or project

Curiosity and a good sense of humor

Experience, involvement, or interest in the arts or arts education a plus
